Office Floors, Industrial Warehouses & Retail Areas; what corporate venue logistics are important to consider?

With the end of year fast approaching, our clients’ main queries concern their functional areas. We have highlighted a few of these items and provided hospitality solutions for you at your next occasion, celebration, or networking event explaining corporate venue logistics.

Speeches, Service Times & Run Sheets:

Almost all Corporate Events can have short, medium, or long speeches. Sometimes they include multiple guest speakers, PowerPoint presentations and video marketing or informational material.

It is important to take into consideration the scheduling of these speeches regarding service times and run sheets for your function.

Bar service should be readily available for your guests to acquire a welcome drink alongside grazing tables and towers (should they be utilised for our event) and small items such as canapes and/or sliders, tacos and skewers.

Once these items have been presented to your guests, service can cease temporarily for the duration of the speeches and presentations, with the bar quietly operating to any guests that would like a refill during this time. Keep in mind that standing guests shouldn’t be engaged in listening to speakers and presentations for more than 30min. Seated guests can be engaged for 60min, but we always say, be succinct in your messages and entertainingly engaging!

Upon completion of all speeches and presentations, the food service for sliders, tacos, or skewers and/or talk ‘n’ fork meals can be presented around to all guests by the waitstaff in the venue with networking and socialising encouraged. This should be for a minimum of 10-15min to allow guests to feel relaxed and enjoy the atmosphere of the venue space and engage with other guests and your organisation.

The importance of speeches/presentations and service times is described and laid out in a run sheet. This document is extremely important for you as the client, as well as your caterers and guests. It allows everyone to be on the same page for timing to create a sense of natural flow to the function. It is pre-prepared and can be used at the event as a guideline for everyone to follow.

The run sheet of service and speech timings is a simple, yet highly effective way to create an amazingly simple event that has been pre-determined to allow for your multitude of guests to be educated on your organisation and its information or celebrations flawlessly and comfortably by everyone!

Kitchen Amenities:

  • Partially equipped: Generally, offices are partially equipped with a fridge/freezer, sink and microwave or sandwich press. These spaces usually require the use of our commercial kitchen catering trailer. However, these office kitchenettes can be utilised with additional trestles and small appliances brought in for events by our experienced Chefs and waitstaff, when parking spaces are minimal for your guests of a smaller-sized function.
  • Fully equipped: These are venues on a medium to larger scale and include Event Hire Venues that may have an on-site commercial kitchen. Functions held in these spaces do not require the commercial kitchen catering trailer and may allow for more spend on food and liquor for your guests, rather than hitting minimum spends for use of our catering carriage.
  • No Kitchen Available: Warehouses and Retail Spaces can sometimes have little to no kitchen space or appliances available. In this case, the catering carriage is highly recommended and sometimes essential, dependant on your event type. Usually with these spaces, there is ample parking in industrial areas, council land parking or shopping centres. Some permission from your body corporate may be required prior to Sunny Rays catering your event.

Bar Amenities:

Almost all corporate venues have little to no bar amenities due to the safety measures and important licensing around liquor in corporate spaces.
